Official document writing refers to the drafting and revision of official documents. It is a writing activity in which the writer speaks on behalf of the agency and reflects the intentions and wishes of the agency leadership. Below are the requirements that I need to follow when writing official documents. You are welcome to read them.
(1) It must be consistent with objective reality.
Official documents are articles used to guide work and affairs, and they must be solid. Facts must be true and reliable, figures must be accurate, conclusions must be realistic, and methods must be practical and feasible. That is to say, the content of official documents must be based on reality, conform to objective reality, and conform to work rules. This requires producers to go deep into reality, investigate and research, effectively grasp new situations, analyze and study new issues. At the same time, they must be proficient in their own business, have relevant knowledge, and avoid speaking "layman" words. Taboos are not operational or instructive. The upper and lower sides are rough, and whatever the upper side mentions, the lower side will still talk about it. It is copied and copied, and it has no guiding significance for the grassroots. It lacks pertinence and specific operation, making people don’t know how to operate. This will lose the guiding significance of the document.
(2) It must be true and objective.
The feedback (reports, investigation reports) must be objectively reflected, and there should be good news and bad news. It cannot only reflect achievements but not problems, especially the part that reflects existing problems and countermeasures, which will play a great role in the scientific decision-making of leaders, so it is particularly important.
(3) Strictly pay attention to the time limit.
The writing and revision of official documents must be timely and rapid, without delay or backlog. Some urgent requirements have obvious time requirements. If the time limit is exceeded, things will be delayed, and delay will affect the effectiveness of the official document. To solve the problem of taking too long to write official documents, a certain amount of time must be left for leadership to review. Therefore, writers must have a strong sense of responsibility, time awareness and efficiency awareness.
(4) It should be concise, short and easy to understand.
To be pragmatic and popular, avoid using slogan-like language in titles. Short official documents are advocated, and should be short rather than long. Avoid clutter, red tape, and random use of classical Chinese words. You should be straightforward and tell the truth, without making sense or playing with words. The language should be popular so that people, departments, and the masses can understand and know what to do.
(5) Be novel, lively and unique.
Although the official document is to talk to people with a straight face. However, for investigative reports and news, the titles can also be written more flexibly, so that some contrasting sentences and questions can be used as titles, which can also make people want to read, and the effect will be better. Quoting ancient Chinese, famous words, etc. will enhance the literary style of the article and make it appear natural and smooth. The year-end work summary should not be of the same old style, but should be refreshing. The characteristics, experience, and shortcomings must be analyzed in depth. Try to choose a title that is eye-catching, concise, vivid, easy to remember, and catchy. It is best to reflect the most exciting aspects of the text in the title.
