As the saying goes, "a clever woman can't cook without rice". Borrowing it into official document writing, "clever woman" is the official document drafter, and "rice" is the useful information accumulated on weekdays. When drafting official documents, the literary thoughts spring from the usual study and accumulation. Whoever learns much and accumulates well will save time and effort in drafting official documents. Official document writing is not "expressing feelings for yourself", but "being ordered to write and expressing opinions for others". The so-called "official document is surnamed Gong, insincere, and the pen is as fast as the wind when you give the order", that is to say, whether you want to write or not, you have to take it out on time. If you don't accumulate it at ordinary times, I'm afraid it will be difficult to be competent in case of urgent tasks, and even delay the work. Therefore, as office writers, we should pay special attention to the accumulation of relevant information at ordinary times.
the first is the accumulation of materials. The material mentioned here refers to the materials that may be used in the drafting of official documents. To accumulate official document writing materials, you should be a conscientious person in life, learn to observe and think, always pay attention to the development and changes of the situation at home and abroad, pay attention to the central work of the region and the unit, pay attention to the important activities of leaders, pay attention to the voices of the people, and so on, and record what you see, hear, think and feel in time to form written materials, or cut out useful materials from relevant books, newspapers and magazines and paste them in special categories. Over time, all makes a mickle, and these are warehouses full of your materials. When drafting official documents, there will be no worries about "cooking rice".
the second is the accumulation of thoughts. The so-called thought refers to the result of objective existence reflected in people's consciousness through thinking activities. As far as official documents are concerned, thoughts are often the theme and soul of official documents. Every comrade who is interested in doing a good job in office writing should capture the new ideas, new concepts and new ideas that flash the spark of thought in time through reading documents, attending meetings, visiting and investigating at the grass-roots level, and record them in a special book or card to form his own library of official document writing ideas. For example, when drafting a leader's speech, we can find out the leader's usual views and opinions on a certain issue, and even use it as a viewpoint or a title of the speech.
once again, it is the accumulation of discussion. In the process of drafting official documents, it is sometimes necessary to discuss some issues, which is time-consuming and laborious to compile and write now, and sometimes the discussion is incomplete and not in place. If you have accumulated in this field at ordinary times, it will be very convenient once you want to discuss a certain problem. For example, if we discuss the repeated topics such as grasping implementation, improving the efficiency of organs, strengthening the construction of work style, and innovating work, we can get the effect of "different people every year" by referring to relevant discussion materials and combining with the new situation, new tasks and new practices.
in addition, there is language accumulation. Writers must pay attention to language accumulation, and accumulate some well-known epigrams and vivid mass language in a large number of readings. If they can be properly quoted in the drafting of official documents, it will add a lot of color to our official documents.
Second, learn to do "imitation show"
Imitating the original meaning means imitating others' words and deeds intentionally or unintentionally, so that their words and deeds are similar to each other. Applying imitation to official document writing is an effective learning method. Zhu Xi, a famous Neo-Confucianist in the Southern Song Dynasty, said: "Most ancient people wrote poems by imitating their predecessors. They have been learning for a long time and are naturally proficient." Mao Dun, a famous contemporary writer, thinks: "Imitation is the initial form of learning." Learning painting requires copying, and learning calligraphy requires copying. Similarly, beginners can't write official documents without imitating. At that time, I studied official document writing, which can be described as "imitation show" in modern words. At that time, I was a platoon leader in a certain naval unit. Because I published several "tofu" articles in newspapers and periodicals, I was broken by the higher authorities. One day, the director of the Political Department said to me: "In a certain sense, the work of the organs is to engage in written work. No matter whether the information is issued, the information is reported, the situation is exchanged and the experience is promoted, it is inseparable from official documents. To do the work of the office, you must pass the written customs. If you can't pass the customs, please leave the office. " Of course, I want to stay in a big office and I really want to do something. How to improve the level of official document writing as soon as possible became my top priority at that time. Many "old institutions" also told me that they also learned to write official documents from imitation. So, I set up an imitation show.
First, imitate and rewrite sentences by referring to a sentence pattern or sentence of excellent official documents in the process of writing official documents. Then, "fragment"
imitation is carried out, that is, a certain paragraph or several paragraphs in some official documents are imitated. Finally, it is the imitation of the full text, including the conception, layout, paragraph structure, beginning and end, transitional reference, sentence expression and other aspects, and in the process of imitation again and again, I carefully try to figure out and understand, and constantly become familiar with the basic knowledge and skills of official document writing. I remember that the first official document I drafted was "Circular on Commending Advanced League Organizations and Outstanding League Cadres in XX Year" by the Political Department of XX, which was basically written in accordance with the previous model notes, without copying the original text, but expressed in a brand-new language combined with the work characteristics of the year, and was well received by leaders and colleagues. Even if it is difficult to draft a leader's speech, it can be imitated. Generally speaking, leaders' speeches often talk about meaning, understanding, unifying thoughts and enhancing sense of urgency and responsibility at the beginning. In the middle part, according to the instructions of the superior and the reality of the work, some suggestions are put forward, which often involve guiding ideology, principles, work indicators, completion time limit, responsible subjects, methods and steps. In the last part, we should summarize the gist of the full text, or make demands, or call for encouragement, or put forward safeguard measures. In this way, in the specific drafting, we can find more leaders' speeches with similar problems to learn from, so as to open our minds and avoid analogy. However, it should be noted that, as a beginner of official documents, it is understandable and permissible to learn to imitate or rewrite the model essays. But if we just stay at this stage and imitate every time we start writing, we won't write without imitation, and that will be a problem. This is like a toddler. At first, he can walk with the help of a walker, but when he grows up, he must walk independently.
Third, practice "writing with a pen in your hand"
"Always look at the book in your chest and write with flowers under it". So how can we practice writing effectively? This requires that beginners of official documents should first "read and write", form a good habit of reading, carefully read books on political theory, official document writing and other books, constantly expand their knowledge, constantly improve their theoretical literacy and cultural literacy, and deeply understand and carefully experience the writing skills of official documents or other articles, so as to truly base their writing practice on understanding, absorption and accumulation. Secondly, we should "practice and write often", such as focusing on a center, an idea, a thing, a scene, etc., or narrating, explaining, discussing or expressing feelings. If you are really busy at work, you should also write down the running account of the day or copy a few famous sayings, aphorisms and wonderful jokes. The key is to practice writing persistently. At the same time, practice writing official documents commonly used by government agencies in a planned and step-by-step manner. For example, you can try to write all 2 kinds of official documents of party and government organs, and compare them with business books after writing, and ask people to judge whether they are well written. Once again, we should "take the initiative to write". We should be prepared to write official documents at ordinary times, and we can "attack" as soon as we have a task. Once we undertake it, we should devote ourselves wholeheartedly and make every effort to write qualified official documents with our highest level. In your spare time, you should try your best to practice writing, actively participate in the writing of official documents, don't be afraid of hardship and fatigue, and don't "hide when you see the materials". Only by practicing writing in this way can you gradually become an expert and master of writing.
Fourth, write a "tofu block"
Some comrades are dismissive of writing a "tofu block" article, and even have prejudice, thinking that it can't reflect the level, and only writing a "long article" has weight and skill. This is actually a misunderstanding. High-grade "tofu blocks" and thousands of words are often concise in thousands or even tens of thousands of words. Being able to write short articles is not only the embodiment of the author's profound writing skills and rigorous style of study, but also the embodiment of a person's attitude towards learning and being a man. At present, many experts and scholars strongly appeal to the academic community to correct the style of writing, not only to write more "short articles" that ordinary people can understand, but also to write "short articles" well. The highest state of learning is to explain things in simple terms. Comrade Deng Xiaoping's articles and speeches seem to be vernacular, but in fact they are full of philosophy. Those who are deep get their depth and those who are shallow get their shallowness. This is a realm. At all times and in all countries, many famous articles that have been passed down through the ages are not long in length, and some are even "tofu blocks". Therefore, don't underestimate the "tofu block", it is not easy to really write it well.
comrades who are just engaged in official document writing, it is best to write some short official documents or other short articles first, for example, drafting relevant notices, requests for instructions, replies and other documents with little difficulty. Generally speaking, after a period of practice, I can basically master the writing essentials. Next, I began to write some slightly more difficult information, situation reports, meeting minutes, plans, deeds and other materials, and after two or three years of tempering, I laid a good foundation for official document writing. With a certain foundation and a firm foothold, you can write work reports, summaries, opinions, decisions, leaders' speeches, typical experiences and other difficult official documents. In short, official document writing follows the law of "from small to large, from simple to complex, from little to many, from coarse to fine", which is a writing process that every comrade engaged in writing work must go through. My debut is a "tofu block", less than 5 words, published in the year's "Correspondence"! It is precisely because of it that I later published articles in newspapers and supported my willingness to engage in office writing work.
5. "Picking bones in an egg"
It is generally understood that "picking bones in an egg" and "finding fault" are synonymous, which means that the conditions are too harsh, deliberately finding faults and looking for mistakes. It is not advisable to treat others with this attitude, but it is still desirable to treat your own works. The ancients said, "An article can't be done just once, but it must be corrected frequently.". In general, everyone changed and changed their works before they were published. Official documents are not the result of anyone, but often the crystallization of collective wisdom. After being written, they will inevitably be revised repeatedly, and it is rare to see "one-time" official documents. Revision can not only make up for the lack of one-time thinking, but also make the official documents gradually close to perfection and improve our writing level. In this sense, official documents are "written in three parts and revised in seven parts".
here, the key is to do a good job in two aspects: on the one hand, I have to revise it carefully and repeatedly. It depends not only on whether the topic is accurate, concise and vivid, consistent with the material, but also on whether there is any problem with the layout of the article, whether the structure is reasonable and whether the order is smooth; It depends not only on whether the facts are conclusive, whether the relevant figures, names, positions, units, place names, etc. are wrong, but also on whether the conclusion is accurate, whether the formulation in this paper violates the relevant spirit of superiors, and whether it conflicts with existing laws, policies and regulations; It depends not only on whether the content is complete, whether there are missing items and contradictions, but also on whether the language expression is appropriate, whether the sentences are naturally connected, and whether there are mistakes in grammar, logic, rhetoric, etc., and they take pains to revise them repeatedly until they reach the highest level and can't be changed by themselves.
on the other hand, it is to ask insiders to find faults and help make corrections. As the saying goes: the party concerned is lost, and the bystander is clear. It is not easy to see the faults in what you write. Only by letting others see it can you know what is good and bad. Some comrades are afraid to take out the official documents they have written, because they don't want people to change them, or they are stubborn, or they are afraid of jokes or criticisms. It should be noted that when official documents are taken out for discussion, there is almost no time when you don't encounter "picking your nose and picking your eyes". The more beginners you are, the more this happens. Those immature, clever or even faulty parts in official documents will be transformed into their own experience and wealth after being given merciful or unkind advice by others, which is also beneficial to improving the quality of official documents. Therefore, we should be happy and grateful for finding fault with others, even if it is "finding bones in eggs"! Here, the key is to put down the shelf, be modest, be soft-headed, and never be self-righteous. In addition, don't throw away or shelve the revised manuscript of "master", but carefully fathom and understand the truth.
I have been "climbing the grid" in the office for nearly five years, and it goes without saying that I have worked hard. Looking back on the past, I feel a lot: there is both a sense of accomplishment in the adoption of the article and the distress of starting a new stove; There are both the hardships of burning the midnight oil and the happiness of getting the approval of the leaders. The author believes that official document writing is the secretary's housekeeping skill and the first priority. Secretarial personnel must be familiar with reading, careful thinking, diligent practice and make more changes if they want to improve the level of assisting politics with literature and be good staff assistants for leaders.
1. Familiarization: Familiarize yourself with 3 Tang poems, and even if you can't recite poems, you can recite
"Read a hundred times, and you will see your meaning." Su Shi believes that reading must be done with hard reading and deep thinking: "Therefore, books are never tired of reading hundreds of times, and children know themselves when they are familiar with them." To be familiar with reading is to develop good reading habits, read widely, learn from the past and learn from the present, learn from the past and memorize, and finally achieve erudition and versatility. The quality of a person's writing depends to a great extent on how much he reads. Since I joined the work, I have never played cards, sang or danced. I have constantly enriched my "database", enriched my "library", expanded my connotation and enhanced my inside information by taking advantage of the neat newspapers, complete materials, wide vision and wide channels in my office. I insist on reading books or newspapers for three hours every night. At ordinary times, I study the party's line, principles and policies, laws and regulations and important speeches in newspapers and periodicals, strengthen theoretical cultivation and improve policy level; Learn excellent works, consciously read some model essays, read important documents of superiors, speeches of leaders and internal materials, and understand the basic knowledge of official documents such as basic format, constituent elements, language characteristics, layout and fonts; Understand the work of local departments, learn their own business knowledge and absorb nutrition; Learn more about philosophy, and use the developed, related, comprehensive and systematic viewpoints and methods to analyze and think about problems.
second, careful thinking: learning without thinking is useless, thinking without learning is dangerous
careful thinking is the key to learning. To improve your ability, you can't just study, let alone read dead books and books. You must learn to think. Marx once said: "Thinking is the supreme pleasure." The ancient Greek philosopher democritus said, "It is better to think deeply before you act." British writer Polk pointed out: "Reading without thinking is eating without digesting." Therefore, secretaries must think in their study, study in their thinking, pay equal attention to learning and thinking, think for thousands of years, and understand Wan Li, so as to be "resourceful when they are free, and be good at judging when they are busy". "I feel shallow on paper, and I don't know that this matter should be done." Knowledge, insight and courage should be constantly enriched and improved in practice, and only by putting them into practice can their value be demonstrated and transformed into wealth. We should be good at grasping the needs of leadership decision-making, earnestly enhance the initiative and foresight of work, and plan ahead. It is necessary to vigorously investigate and study, and go to the "deep water area" to "replenish oxygen" and go to the front line to "congestion". In the work, go deep into the reality, carry out investigation and research on topics such as building a new socialist countryside, building a contingent of cadres, advanced education activities, and promoting new industrialization, collect and sort out good experiences, good practices, and good ideas in advanced areas, strive to broaden the research field, and form their own library of official document writing ideas to provide reference for leadership decision-making.
three, diligent practice: always look at the chest.
