1. Routine service. During the meeting, special persons should generally be arranged to greet, guide and accompany the participants both inside and outside the venue. Special care is often required for distinguished guests attending the conference, as well as the elderly, weak, sick, disabled, pregnant, ethnic minorities, religious figures, compatriots from Hong Kong, Macao and Taiwan, overseas Chinese and foreigners. We will respond to the legitimate requests of participants.
2. Sign in for the meeting. In order to control the number of attendees and maintain strict meeting discipline, for large or important meetings, participants are usually required to sign in when entering. There are three common ways to sign in for a meeting: first, check in with a signature, second, check in with a voucher, and third, check in by swiping a card. The person responsible for this work should promptly report to the person in charge of the meeting.
3. Catering arrangements. For longer meetings, working meals will generally be arranged for participants. At the same time, hygienic and delicious drinks should be provided to attendees. The drinks provided at the meeting should be convenient for participants to drink by themselves. It is not recommended to refill tea and water for them frequently. Doing so is often unsanitary and unsafe, and may hinder the other party. If necessary, accommodation and transportation should be provided to outside participants as conveniently as possible and in compliance with regulations.
4. On-site records. All important meetings should be recorded on-site by taking notes, printing, typing, audio recording, video recording, etc. One can be used alone or in combination.
When taking handwritten notes on meeting minutes, the basic contents such as meeting name, number of attendees, time and place, speech content, discussion matters, temporary motions, voting and elections must be complete, accurate and clear.
5. Write a briefing. Some important meetings often require briefings to be prepared during the meeting. The basic requirements for writing a meeting briefing are to be fast, accurate and concise. Fast means that it is timely; accurate means that it is accurate; simplicity means that the text should be refined.
